Send it so you can prove you sent it
A letter nobody can prove was sent is worth roughly nothing if the other side says "we never received that."
- Post: certified mail with return receipt. Keep the green card and the receipt stapled to your copy.
- Email: send it to a named person and copy yourself. Save the sent message as a PDF, not a screenshot.
- Web form: paste the same text, then screenshot the confirmation page including the reference number and the date.
- Always: keep an unsigned copy of exactly what you sent, in a folder with every receipt, photo, and reply. Photograph anything physical the day you notice it, not the day you write.
